Terms and Conditions of Travel

Dear Potential Traveler,
"At Heart of the Sun, it is our mission to open the doors of activation to you. Let me explain what that is all about - from the shaman's perspective. I would like to offer you an intimate experience with the energies of Pachamama (Mother Earth) wherever we might go together. Pachamama is the one who holds the energies of activation, some inherent and some sent from the stars. Pachamama is our energy source - she is the Mother who can nourish us. Sometimes these activations happen to us without our knowing it. It can be quite destabilizing when it does, throwing our lives into chaos and unending change.

"For this reason, it is nice to travel with guides who can hold space for you and help you integrate what you receive. That is my job. That is my personal ayni - my way of making energy exchange with you - for my portion of your trip costs. Oh yes, I also see to many details on the trip, organization (with help from Emma), problem solving, and work with you at sacred sites and in our circles, but holding space is something not everyone can do. It is the gift I give to you.

"My preference is to have you in a training program prior to a major trip. Why? Because you will be better prepared to receive the energies that come your way and to integrate them without destabilizing yourself or the group. My preference is to lead trips that don't spin out with needless drama. For the most part, this has been true of all our journeys. When drama does occur, my reckoning is that we all have something to learn from it - and so we move energy accordingly.

"In these web pages, I have tried to present you with a thorough overview of each trip. Be sure to click on the travelogues for images and impressions of past trips. If you are going to Peru with us, make sure you click on our "Meet the Q'ero" link for my essay about the magical and beautiful people we work with in Peru. Visit our books and audio department for good preparatory reading and use the CD to discover what your "made of" if you cannot come to a training program.

"In the text below, I have spelled out our terms and conditions of travel. I have tried to be very clear about everything - and yet when you register there is much more to share with you about preparedness for each journey. If I have sounded a bit harsh in the text, simply understand that we are trying to minimize the possibility that your trip will not be 100% enjoyable and rewarding. When every participant has agreed to some basic guidelines, deviations from those guidelines can be dealt with in the best interest of the group.

"When we travel together, we are both individuals and part of a group. We work at being part of the group to be able to travel with each other in the most beneficial way. If you share our feelings about sacred travel and have a soul's longing to be with us, please, do not hesitate, to contact us. If your travels are limited to these pages, please enjoy the journey.

Expectations:
The best way to approach any journey is: without expectations; without an agenda; without preconceived ideas of what will happen to you. For example, if you have read The Brotherhood of the Magi, it would not be in your best interest to expect the kind of journey in Peru that unfolds within its pages. On the other hand, we can be open to receive benefits from what our Higher Self is experiencing, which may be a journey quite like the Magi's. It is not easy to free ourselves of expectation, but it opens the door for magic to occur. We can be particularily debilitated by unhealed wounds which demand that we be noticed, recognized, special, or cared for in ways that are unhealthy. Heart of the Sun trips are not about fulfilling ego needs. They are about activation. To receive activation, the mind must be stilled, the body relaxed, and the spirit open. For this reason, we try to keep the journeys as simple and straightforward as possible.

We recommend our Light Activation weekend trainings to help you prepare for the kind of trip your Higher Self can enjoy. We ask that you follow the recommendations put forth here and in our travel booklet to assure that you have as much opportunity for spiritual advancement as possible. Keep in mind that, more often than not, spiritual progress comes with insight, and that insight occurs when Higher Self gives us revelation. Revelation (the revealing of truth) about ourselves can be decidedly uncomfortable.

Our Special Ayni to You:
Unlike most travel opportunities, especially those of a "spiritual" nature, our journeys encompass the workings of subtle energy. You will be held in a space that accelerates your growth. We meet as often as possible to discuss, in group, that which arises for participants. When we venture out to sacred sites, we are opening ourselves to tremendous inherent energies. To have the support of those who can move and hold subtle energy is the best you can hope for. It is critical to realize that we are part of a continually unfolding Divine landscape. It is not necessary to understand it or our role in it. It is important just to be.

That movement and holding of the subtle is part of our ayni (reciprocity) for your participation. We, and the shamans, work continually to hold that space for your evolution. Our groups are not large, tourist-oriented, or filled with a star-studded cast. Our journeys are intended to bring you home.

Flexibility:
Please be aware that many things can occur to disrupt the intended itinerary of our journeys. For example, we have had to change our itinerary completely to avoid political unrest that might have endangered our participants. We will not knowingly risk your safety to complete an advertised itinerary but will provide an alternate activity. The best attitude is one of flexibility. Generally we call in the experience that unfolds for us and try to learn from it. Resistance and negativity always creates problems, both personal and group.

Air Travel:
Though airline flights to our destination are not included in the trip cost, we do all that we can to get you the best price possible from the U.S. to our group destination. If your point of departure is not the U.S. it will be best for you to arrange your own travel to the group destination or meeting point. Please keep in mind that air travel to Europe is an overnight - arriving from 8 to 11 AM in Paris or London. Air travel to Peru is different with each airline - but, you will either be spending a night in Lima at the beginning of the trip and flying home overnight, or you will be spending the night in Lima at the end of the trip and flying overnight to Lima on the way to Peru. Hotel and transportation for one or the other is included in your trip cost. In the latter case, we wait at the airport for the earliest flight on to Cusco and rest when we get there. Cusco is over 11,000 feet, so we really mean rest. Your heart must be given down time to adjust to the altitude, especially if you are tired.
Each trip is different owing to airline competition and pricing. You will be informed of our group choice within two months of the flight. If you wish to use frequent flyer miles, we will help you with arrangements as best we can. Flights from Lima to Cusco, Cusco to La Paz, and Cusco back to Lima are included in trip costs. These tickets are easier for us to get in Peru as most travel agents have not even heard of the national airlines.

Qualifications and Restrictions:
Each journey has different requirements for spiritual, mental, physical and emotional fitness. These are detailed in our Travel Booklet which you will receive upon registration (see more below about registration and acceptance). Our Andean Expeditions require a high degree of physical fitness, mental and emotional stability. It is necessary to train for these expeditions. Those who hold fearful or negative thought patterns about weather, terrain, altitude, horses, etc., are unconsciously calling their fear to them. Unfortunately, we are all forced to deal with these manifestations which could easily have been avoided. Attitude is everything.
If you have a medical illness or emotional instability history, we must be informed - and we may decide to decline your application on difficult expeditions. We reserve the right to deny participation to any individual who is at risk or whose participation might put others at risk. Trekking Altitudes can reach 17,000 feet - heart/lung capabilities are important. Aerobic fitness is essential on trekking expeditions. Please pick the right trip for your abilities. On the other hand, we have seen those less fit do quite well because they are aligned with the spiritual energies. It requires a subtle balance.

We also reserve the right to terminate your participation on any journey should your behavior or state of health adversely affect the group. If altitude sickness should occur, you will be taken from high altitude expediantly - and at your own risk and expense (though simple horse evacuation is provided as part of the journey). We are not responsible for your health care though we try, in every way, to help those who require it. On expeditions, certain of our staff are qualified in first aid, rescue and CPR. We do carry oxygen on expeditions but altitude sickness requires immediate evacuation (note we have never experienced it in a group but need to state this possibility). Air evacuation from a remote site can cost upwards of $5000 US.

Insurance:
You may want to look into trip insurance. It is inexpensive and would protect you should you become ill or, in some way, be unable to finish the trip. There are also medical benefits in most policies. Insurance does not cover political situations. Should you need to file a claim, our office will invoice your trip losses. For other expenses, save receipts. Insurance goes into effect when paid so might include any and all deposits or expenses should you need to cancel before departure or during your trip (see cancellation policy below).

Payments:
Heart of the Sun requires a $500 deposit on all international journeys. A second deposit of $500 is due 90 days prior to your departure. If you are late signing on, a $1000 deposit will be required. The initial $500 deposit is not refundable, no matter how early it is made, unless Heart of the Sun cancels the event or journey.

A $188 non-refundable deposit is required for our Mount Shasta retreat at the time of registration. Workshop deposits are $50 for in-advance workshop prices and are not refundable should you cancel. Cancellation on our part might occur if we do not have minimum numbers of participants, if risks are too great to assure a safe journey, or if a key facilitator should become ill or unable to participate. Under such circumstances, deposits will be refunded in full. If you are forced to cancel for personal reasons, see our cancellation policy below for refund policies.

The balance of your payment is due 30 or 60 days prior to our departure, depending on the trip. International participants will be required to send international money orders or use bank transfers to pay for the trip. Receipt of either must comply with the payment schedule provided after registration. We do not accept credit cards.

Cancellations:
If you cancel your trip, your deposit is not refundable. In addition, there are cancellation fees that apply to the rest of your balance depending on the date of your cancellation. If we have used an agency for part of the trip, their cancellation policy may override ours. Again, trip insurance might protect you from losses. Here is our policy for international travel:

More than 90 days prior to departure - full refund less deposit
89-60 days prior to departure - 75% refund less deposit
59-30 days prior to departure - 50% refund less deposit
29-15 days prior to departure - 25% refund less deposit
Less than 15 days prior to depart or during trip - no refund

Registration:
When we receive your trip deposit, you will receive our travel booklet. You are asked to read the booklet thoroughly, ask any questions of us after reading it, then sign and return an application form contained within the booklet within two weeks time. This form gives us vital information about you, your medical history, etc., and assures us that you have read and agreed to the terms and conditions of travel with Heart of the Sun. When we receive your signed application and your signed release form by mail or fax (see copy below), we will bank your trip deposit and you will be officially registered. If, for any reason, you are unwilling to comply or have changed your plans, we will send your deposit back to you (providing you have complied with the two-week grace period). Unwillingness to agree to our terms and conditions cancels your participation.

Please read the description of your intended journey to know what is and what is not included in the cost. If you have not worked with us before, you will be asked to submit a short biography (email is fine). If you have traveled with us before, please sign the release form again, in addition to the application, as some of the wording has been revised. Early registration is advised as some journeys have space limitations. All prices are in US dollars.

Release and Assumption of Risk

I, ___________________________, the undersigned, am aware that during workshop, class, healing session, or travel program, both domestic and international, that I am participating in through Heart of the Sun and arrangements made by Heart of the Sun, certain risks may occur, including, but not limited to hazards encountered while hiking, being around an open fire, the forces of nature, including injury from insects, plants and animals, automobile, boat, bus, train and air transportation, accidental injury working in a group of people, physical, mental and emotional consequences of political or social unrest or war, loss of or damage to personal possessions, and exercising, including therapeutic breathing.

In consideration of, and as part of payment for the right to participate in the activity and the services arranged through Heart of the Sun, I hereby assume all risks and release and waive all claims against Jessie E. Ayani, Heart of the Sun, and its officers, directors, staff, lessees, and representatives, and will hold them harmless from any and all liability, action, cause of action, debts, negligence, claims, demands and damages of every kind or nature whatsoever, whether direct or indirect, contingent, consequential, or otherwise, against them, which I now have or which may arise out of, or be brought by a third party in connection with my participation in the activity or any other activity arranged by, through or with Heart of the Sun. This agreement shall serve as a release, assumption of risk and hold harmless provision for me, my heirs, executors and administrators, and all members of my family, including any minors, participating in these activities. I have read and agree to these terms and conditions. Heart of the Sun will rely on this release in allowing me to participate in these activities.
